At our South Boston, VA facility, Aquatic is supported by a hardworking team dedicated to excellence — and we’re looking for a Fleet Coordinator to ensure our transportation operations run safely, efficiently, and in full regulatory compliance.
Position Summary
The Fleet Coordinator ensures Aquatic’s transportation operations remain fully compliant with Department of Transportation (DOT) regulations while maintaining high standards of efficiency and safety. This role focuses on overseeing driver qualification files, electronic logs, compliance records, and vendor coordination. Success in this role requires exceptional attention to detail, the ability to interpret and apply DOT rules, and strong communication skills for partnering with drivers, management, and vendors.
Key Responsibilities
- Maintain and audit driver qualification files, payroll, ELD logs, trip reports, and DOT compliance records.
- Monitor JJ Keller ELD system to ensure accurate logs and address unsafe driving behaviors with coaching or corrective action.
- Ensure all tractors, trailers, and drivers meet DOT standards and company policies at all times.
- Partner with vendors (including Penske Truck Leasing) to coordinate preventative maintenance, repairs, and billing.
- Audit vendor invoices for accuracy, resolve discrepancies, and maintain cost control.
- Schedule and coordinate fleet equipment to maximize utilization and reduce downtime.
- Oversee bulk fuel/DEF purchasing and preventative maintenance schedules.
- Monitor and administer the DOT drug & alcohol testing program to ensure compliance.
- Inspect fleet yard and equipment regularly for DOT readiness.
- Support driver hiring, onboarding, and training, including participation in driver safety meetings.
- Serve as a point of contact for drivers, ensuring timely communication and operational support.
Qualifications
- High school diploma or GED required; additional education in logistics, compliance, or fleet management a plus.
- Minimum 1 year of DOT compliance, trucking, or fleet experience.
- Strong knowledge of DOT regulations, ELD log requirements, and driver compliance standards.
- Proficiency in Microsoft Office (Excel, Word); experience with AS400 preferred.
- Strong organizational skills with the ability to manage multiple tasks and deadlines.
- Excellent verbal and written communication skills.
- Ability to remain calm, professional, and solution-oriented under pressure.
- Leadership skills to positively influence and support drivers while enforcing compliance.
